About the Position:
The Human Resources and Talent Associate is a critical position for the functioning of the
school, reporting to the Business & Human Resources Manager. The Human Resources and Talent Associate handles time-sensitive tasks and is responsible for performing these tasks with care and attention, following procedures exactly to make sure all parts of the job are completed and reviewing work carefully for completeness and accuracy. This job description provides an outline of the duties of the position, but there may be additional responsibilities as assigned by the Business & Human Resources Manager.
This is a 12-month position which is exempt and therefore not eligible for overtime pay under
the provisions of the Fair Labor Standards Act.
The responsibilities of the Human Resources and Talent Associate include:
Human Resources
Assist the Business & Human Resources Manager with employee benefits enrollments during open enrollment for new hires and for mid-year qualifying life events
Assist in administering new hire paperwork and ensuring all paperwork is completed
Maintain all employee records (paper files and electronically in HR system (Namely)) and conduct annual audits to ensure accuracy
Work with the Business & Human Resources Manager and Compliance team to complete required employee compliance requests
Track employee leave and produce end-of-year summaries and reports, using our HR system, Namely
Ensure that all timesheets are completed and approved per the timesheet/payroll schedule
Process reimbursements for Capital City employees as needed
Draft contracts for stipended activities and payments
Maintain stipend contract records and reconcile payment amounts for inclusion in payroll on a quarterly basis and through our payment management system, Anybill, for non-employees
Assist in the employee evaluation process
Maintain excellent relationships with employees
Perform other Human Resources tasks as required
Talent
Post open positions to Capital City’s talent management system and broadly on job boards
Work with the Communications Team to advertise openings on social media and our website
Represent Capital City at local and virtual job fairs
Maintain Capital City’s Talent Management system
Screen applications and identify candidates to interview
Conduct phone screenings with detailed notes and recommendations for Hiring Managers
Coordinate interview panels and schedule for interviews as needed, ensuring panelists have what they need to conduct interviews
Conduct reference calls
Ensure candidates are “ready for offer” and all required documentation has been collected
Perform other talent tasks as required
Other duties as assigned
Desired Qualifications:
Bachelor’s degree required
Strong and professional oral, written and email communication skills
Prior office experience
Proficiency with databases, spreadsheets, word processing software and email (Capital City uses the GoogleSuite)
Customer service oriented, dependable, show initiative, self-motivated and able to work independently as well as with and on a team
Highly organized, demonstrate meticulous attention to detail
Able to prioritize tasks and multitask on competing projects
Flexible and able to adjust to unexpected schedule changes
Willing to occasionally take on tasks outside of the normal routine
Friendly, professional and comfortable interacting with a variety of people including vendors, colleagues, students and other professionals
Spanish fluency preferred
In addition to the above requirements, staff members must meet the requirements of all hires at Capital City including a criminal background check.
